PropertyLab B2B Privacy Policy
Who provides the service
PropertyLab B2B is provided by PROPERTYLAB TECHNOLOGY SDN. BHD. for authorised business users. Your organisation creates or assigns your account and determines which customers, conversations, recordings and projects you may access. We administer the service from Malaysia. Wai Kit is responsible for handling data requests. You can contact us through support@propertylab.tech and address your request to Wai Kit.
Information used and why
- Account and contact information: names, email addresses, phone numbers, account and company identifiers, and sign-in details support authentication, account access and CRM work.
- Business content: customer records, messages, senders and recipients, photos, videos, attachments, notes, project assignments and meeting information support communication and follow-up.
- Audio and reports: recordings, transcripts, related session times and device identifiers are used for transcription, meeting reports and follow-up suggestions. Content may include personal information discussed or supplied by participants.
- Device information and diagnostics: installation and notification identifiers, app and system versions, hardware model, connection and recording/upload states, error codes and relevant session/Badge identifiers support delivery, synchronisation, troubleshooting and reliability. Structured diagnostic events can include error locations and app interactions, and are associated with the authenticated company account. These diagnostic logs exclude audio, message bodies, passwords and your phone’s personal name.
Do not submit information that your organisation is not authorised to process. Access to business records depends on organisation permissions. The app stores sign-in tokens securely and keeps account-scoped caches, queued diagnostics and pending recordings on the device. Pending uploads may resume when connectivity returns.
Recording and third-party AI
A compatible Bluetooth Badge records when you explicitly start it in the app or use its hardware button. Connecting does not itself start recording. An independent lanyard has its own hardware recording/upload workflow. The phone microphone is used when you explicitly record a supported WhatsApp voice note.
Recording and analysis workflows can share audio, transcripts and relevant business conversation context with Google Gemini, Deepgram and OpenAI. Google Gemini and Deepgram provide transcription; Google Gemini and OpenAI provide analysis, reports and follow-up suggestions. The service may use a configured fallback provider. The recording notice asks you to agree before the app uploads Badge recordings. Inform participants and obtain their permission before recording or sharing their information.
These providers operate internationally and may process information outside Malaysia; use of this app does not guarantee Malaysia-only storage or processing. Provider terms and settings govern their processing, security and retention. We do not promise zero retention or that all provider accounts have the same settings. For the processing arrangements applicable to your organisation, contact Wai Kit before submitting sensitive content.
Provider information: Google Gemini API terms, Deepgram privacy policy, and OpenAI privacy policy. AI results can be inaccurate; check them before making decisions or communicating with customers.
Who can receive information
Authorised users of your organisation can access its records according to assigned permissions. Company service infrastructure stores and processes records. Google Cloud media storage, notification delivery services, communication providers such as WhatsApp/Meta and the AI providers above receive the information needed for their functions. The app uses Firebase notification services where configured. Provider processing and legal obligations may differ from your organisation’s settings.
The app does not display third-party advertisements or request Apple’s advertising identifier. CRM processing and reliability diagnostics described here are used to operate the business service.
Retention and deletion
PropertyLab currently has no uniform fixed retention period for customer records, recordings, transcripts, messages, diagnostics or backups. Records are managed by the organisation and may remain until a deletion request is processed. Contact Wai Kit to request deletion and to understand the handling of server records, backups and provider copies.
Signing out, revoking device permissions or uninstalling the app does not delete company server records or copies already held by service providers. Ask for deletion of the relevant server records and recordings explicitly. Deletion is not necessarily immediate or unconditional: organisation authorisation, records required for legal obligations, disputes or security, and backup/provider processes can affect what can be removed and when. Wai Kit will explain the applicable scope and handling of your request.
Your choices and requests
You may decline the recording notice and use other CRM functions, change microphone, Bluetooth and notification permissions in device settings, or ask to withdraw permission for future processing. Stop active recording on the hardware before disconnecting or signing out: changing phone permissions does not stop an independent recorder.
For access, correction, deletion, account closure or withdrawal requests, contact your organisation administrator or email support@propertylab.tech, addressed to Wai Kit. Provide your organisation, account email and enough detail to identify the request. Do not send passwords or customer recordings by email. Identity and organisation authority may need to be verified. Withdrawing permission does not undo processing already completed.
Business audience and policy changes
This service is intended for authorised adult business users and is not directed at children. Organisations should assign access accordingly. Updated policies will be published on this page with a revised effective date. The app requests renewed recording consent when its recording disclosure materially changes.
